The Event Coordinator manages your timeline and vendors the day of the event. Before Event Booking Meeting to go over the event logistics, create a preliminary timeline and review tasks that need to be completed (1 hour). Two weeks prior to the event, she will contact you to finalize the timeline and vendor list. She will create a plan for who will assist with the tasks not already covered by your vendor contracts. She will also review your Event Layout, give input and use this as the map to direct the vendors (1 hour). One week prior to the event, she will contact your vendors to ask additional questions about their services, arrival and departure times to meet the terms agreed upon as well as ensure they are in compliance with venue requirements (1 hour). Conduct a Rehearsal with the Wedding Party on Ceremony and Grand Entrances (1 hour). Day of Event Provide 8 hours of onsite work on the day of the event Check in deliveries over the phone for decorator, florals, caterer, cake, DJ, etc. Prepare you for the ceremony and line up the wedding party for the processional Guide you out of the ceremony and into the hands of your photographer Provide refreshments during the family portraits Greet, direct & assist guests to designed areas throughout the event Line you up for the Grand Entrance Work closely with your DJ to stay on top of the timeline for the ceremony, grand entrance, toasts, cake cutting, departure etc. Do a final walk-through of the venue at departure time and help your family with boxing up any rentals, personal items and gifts
